How can you download a file explorer?

Download files and folders from OneDrive or SharePoint

You can download files and folders from Microsoft OneDrive or from SharePoint to Microsoft 365 or SharePoint Server 2019 to your computer with just a few clicks.

  1. From the OneDrive, SharePoint Server 2019, or SharePoint in Microsoft 365 website, select the files or folders that you want to download.

    • To download single or multiple files, select each item by clicking the check box in the circle. (The picture at the bottom left shows items in the list view, the picture on the right shows items in the tile or photo view.) (You can also select multiple files at the same time by selecting a file, scrolling down the list and holding down the Shift key while left-clicking the last item you want to select.)

    • To select all files in a folder, click the circle to the left of the heading or press Ctrl + A on your keyboard.

    • To select an entire folder rather than just its contents, you may need to navigate up or back a level and select the folder.

  2. Select on the top navigation bar Download out. (You can also right-click the file, photo, or folder and Download choose.)

    Hints:

    • The button Download only displayed when files or folders are selected.

    • If you refresh the webpage while viewing a folder, the button will appear Download may not appear at times. To work around this, you can navigate up and back a level in the folder directory or close this tab in your browser and navigate to the folder again.

  3. When prompted in the browser, select to save or Save as and navigate to the location where you want to save the download. (Some browsers save the files or folders directly to a Downloads folder on your computer.)

    Hints:

    • If you need to free up space on your OneDrive, download the file or folder to a location outside of your OneDrive folder (see below). You can then delete the OneDrive copy of the file or folder to reduce the amount of storage.

If you select multiple files or folders, then Download If you select, the browser will start downloading a ZIP file containing all of the files and folders you selected. If you are in a folder and Download without selecting files or folders, the browser starts downloading all the contents of the folder.

Hints:

  • You cannot view files directly from the view Approved download. You'll need to open the file and save a copy in any location.

  • OneNote notebooks cannot be downloaded. When you download a folder that has a OneNote notebook in it, the ZIP file contains an error message in the form of a TXT file.

  • The ability to download multiple files is not yet available on-premises in SharePoint Server (if your organization is not subscribed to a Microsoft 365 Business plan).

  • If you refresh the webpage while viewing a folder, the button will appear Download may not appear at times. To work around this, you can navigate up and back a level in the folder directory or close this tab in your browser and navigate to the folder again.

  • In OneDrive for work or school / university, Internet Explorer cannot be used to download folders or multiple files. You can use Microsoft Edge or Google Chrome to download folders or multiple files.

  • Downloads are subject to the following restrictions: 250 GB maximum file size, maximum total number of files: 10,000, limit for folder size: 200 files.

  • Files or folders that contain a number sign (#) in the file or folder name cannot be added to .zip files.

Serving files offline in a OneDrive mobile app

You can make files available offline on a mobile device. This is similar to downloading files. In the OneDrive APP under IOS, Android or Windows 10 Phone, look for the offline icon ( for Android or IOS resp. for Windows Mobile devices).

  1. In the OneDrive app, select the files that you want to make available offline. (Press and hold to select a file.)

  2. Choose Leave offline out.

Note: Folders or OneNote notebooks cannot be made offline using the OneDrive app.
